Construction & Sales Administrator

This is a dual role administration role, working closely with the Head of Project Delivery and BDM teams. 

The successful candidate will love working with numbers and have exceptional time management, organisational and impeccable communication skills. 

Your role will include administrative document creation, assisting with the coordination of site inductions, basic safety administration, contacting various stakeholders to follow up on requests and logistic orders, basic accounts payable and receivable and assist with administrative project and logistics requests.

Responsibilities:
  • Sales Administration

    • As the Sales administrator, be the first point of contact for external parties for purchasing of our specialised bag and associated Products.
    • Assist customers with the relevant pricing schedules.
    • Raise purchase orders.
    • Input sales orders and liaise with external 3PL and advise of incoming goods.
    • Work with external 3PL to arrange logistics with couriers and approve charges.
    • Manage credit card payments.
    • Assist with all outgoing correspondence.
    • Monitor debt collections.
    • Coordinate international and regional orders.
    • Assist with the coordination required for client presentations.
    • Ad Hoc duties as needed.

    Construction Administration

    • Manage accommodation and flights for the Operations Team.
    • Administer and manage evolving construction rosters.
    • Manage and follow up payroll requirements including timesheets and leave forms.
    • Liaise between all parties to ensure efficient work between employees and subcontractors 
    • Ensure the highest level of communication is maintained throughout the project by using our systems and processes.
    • Support supervisors with the coordination and take minutes during Toolbox Talks, prestart(s), and support inductions and inspection checklists. 
    • Collate project related documentation including but not limited to, action plans and performance reports on behalf of the Head of Project Delivery.
    • Collate documentation required for monthly reporting.
    • Assist with and collate the documentation required for procurement and management of sub-contractors including tender and pricing schedules, scope of works, comparative tender analysis, and recommendations. 
    • Work within the guidelines of our ISO systems and procedures.
    • Assist with day-to-day tasks as required.
Skills:
  • 3-5 years’ experience working in a similar Procurement/Purchasing, logistics or Contracts Administration role 
  • Proficient use of Microsoft (Advanced Excel Skills)
  • MYOB Advanced Accounting Software
  • Experience with HubSpot would be advantageous
  • Numerically sound with a high level of attention to detail (calculating cubic square meters)
